Position Summary
This position reports to the Head of Libraries Human Resources and provides comprehensive administrative support for human resources and financial operations within the Libraries. The role supports hiring and onboarding, payroll and position funding, purchasing, reimbursements, and related processes. Working closely with members of library leadership and administration, the position helps ensure smooth personnel actions, accurate financial transactions, and efficient day-to-day operations
Knowledge, Skills, Abilities and/or Competencies
- Understanding of HR and business processes, including hiring, onboarding, payroll, position funding, timekeeping, employment classifications, and compliance requirements-particularly in a higher education or public sector environment.
- Ability to manage financial transactions with accuracy and attention to fiscal policies and deadlines.
- Ability to communicate clearly and professionally with faculty, staff, candidates, new hires, vendors, and leadership
- Skill in using enterprise systems (e.g., OneUSG Connect or similar HR/payroll systems, financial management software, and timekeeping systems) for data entry, transaction processing, reporting, and troubleshooting.
- Ability to coordinate multiple processes at once-such as onboarding schedules, search logistics, payroll cycles, and student employment workflows-while meeting deadlines and maintaining detailed records.
- Capacity to identify issues (e.g., funding discrepancies, payroll errors, scheduling conflicts), propose solutions, and adjust priorities in a dynamic administrative environment

- Oversee credit card, check, and cash transactions for the libraries.
- Handles purchasing related to business cards, vehicle rentals, Print & Design, supply, and service requests for Libraries copiers.

Coordinate staff and faculty onboarding process by coordinating with managers regarding departmental onboarding schedules, by meeting with newly hired staff on their first day of work, processing relocation reimbursements, ad hoc salary requests, supplemental pay, dual appointments and other kinds of related support activities.

- This may include making appropriate reservations and processing direct billing or reimbursements related to lodging, meals, transportation, and other miscellaneous scheduling.
