Description
The Banquet Assistant supports the Banquet Captain and banquet team in executing high-quality events that reflect Pine Canyon's service standards. This role helps ensure all event setups, service flow, and breakdowns are completed efficiently and accurately, with special attention to buffet layout, plated service organization, and overall guest satisfaction.Essential Duties and Responsibilities:
Event Setup and Preparation
- Assist the Banquet Captain with preparing event spaces according to banquet event orders (BEOs), diagrams, and established standards.
- Support the setup of tables, linens, service ware, buffet stations, and décor elements.
- Ensure buffet and plated event setups are accurate, polished, and aligned with the event plan.
- Organize and prepare service stations to ensure staff have the tools and supplies needed for smooth execution.
Service Execution
- Help assign team members to buffet sections and service zones to promote efficient flow and clear responsibilities.
- Work closely with the Banquet Captain to guide teammates during service, maintaining professionalism and consistency.
- Assist with monitoring buffets to ensure cleanliness, presentation, replenishment, and guest satisfaction throughout the event.
- Support plated service by helping coordinate course timing, plate delivery, and overall dining room readiness.
Communication & Coordination
- Collaborate with the Banquet Captain and Culinary team to confirm details for timing, menu execution, and replenishment needs.
- Communicate event expectations clearly to teammates and help ensure standards are met at every stage.
- Provide feedback or observations to the Banquet Captain to support continuous improvement in banquet operations.
Event Breakdown
- Assist with the efficient teardown of event spaces, including clearing tables, resetting rooms, and organizing equipment and service ware.
- Help ensure storage areas remain clean, organized, and ready for the next event.
Key Performance Indicators (KPIs) - Focused on readiness, timing, and operational excellence
- Readiness of banquet setups 30 minutes prior to member entrance or scheduled event start time.
- Food placed in chafers 15 minutes before service to ensure proper temperature, presentation, and flow.
- Buffet stations maintained consistently with clean surfaces, full trays, and replenishment completed within 2 minutes of depletion.
- Zero missed setup elements per event, based on BEOs and pre-event checklists.
- Service stations fully stocked before event start, including utensils, linens, beverages, and backup supplies.
- Breakdown completed within designated timelines, with storage areas reset to organizational standards.
- Accurate section assignments before doors open, ensuring teammates understand roles and service responsibilities.
Education/Experience:
High school diploma or general education degree (GED); and one year of related banquet or food & beverage supervisory experience preferred; or an equivalent combination of education and experience.
Physical Demands:
- Frequently stands and walks; uses hands and arms to reach and handle service equipment.
• Occasionally stoops, kneels, crouches, or climbs.
• Frequently lifts up to 25 pounds and occasionally lifts up to 50 pounds.
Environment/Noise:
- Occasionally works in outdoor conditions and fluctuating temperatures depending on event location.
• Noise level ranges from moderate to high during event service.
Certificates/Licenses:
- ServSafe Arizona Food Safety and Sanitation Training
• ServSafe Alcohol Awareness Training
Job Knowledge, Skill, and Ability Preferences:
- Ability to read and speak English to communicate with guests and teammates, and interpret event documents and service instructions.
• Demonstrated leadership skills and ability to motivate a team in a fast-paced environment.
• Working knowledge of POS systems and banquet service procedures.
• Knowledge of food and beverage service etiquette and sequencing.
