General Summary/Overview:

Reporting to the Vice President of Revenue Cycle Operations, the Executive Assistant performs daily office functions both in a remote and in person and provides a range of administrative services to the department, including but not limited to: managing calendars for senior management team; assisting with meeting scheduling, management, event coordination, and other activities for all; may assist with daily work-flows such as compiling reports, presentations, and correspondence.

Principal Duties and Responsibilities: 

  • Maintains complex, high volume calendars for department directors and large/ complex meeting scheduling for others:
    • Collaborates with directors and RCO administrative team to ensure sound calendar management, adequate balance of meeting time, work time, travel time, and general availability
    • Collaborates with executive assistants of high level clients to schedule meetings and events
    • Communicates schedule changes in timely manner
  • Schedules and supports department meetings and events, including:
    • Schedules meetings, arranges and books conference rooms and technical support (ie: projector, teleconferencing services), meals, and prepares materials as necessary
    • Leads holiday events and other group activities
    • Facilitates agenda planning and distribution
  • Other administrative duties, including, but not limited to:
    • Manages room-booking for ad-hoc and project meetings. Registers guests in security y, and escorts and assists them as needed
    • Assists with correspondence, filing, telephone coverage, and other administrative activities, including organizing, ordering and managing office equipment and supplies and maintaining the Partners non-profit postage account
    • Helps improve workflow, operating efficiency, and service quality within the two departments
    • Prepares and/or edits correspondence as appropriate, ensuring that all communications are clear, grammatically correct and meet content requirements.

Requirements

Qualifications:

  • Three to five years of administrative experience, preferably working with VP or C-level staff in a healthcare or finance environment
  • B.A. or Associates Degree preferred
  • Possesses a commitment to a growth mindset
  • Highly motivated, team focused, and results oriented
  • A combination of education and experience may be substituted for requirements

Skills/Abilities/Competencies:

  • Possess strong interpersonal skills to effectively communicate with cross functional teams including staff at all levels of the organization
  • Ability to successfully negotiate and collaborate with others of different skill sets, backgrounds, and levels within and external to the organization
  • Strong problem solving and negotiation skills
  • Ability to effectively conduct meetings, both formal and informal
  • Requires minimal direction from leadership and possesses the ability to learn quickly
  • Ability to collaborate with directors to form effective team
  • Proficient in the use of Microsoft Office products (Outlook, Word, PowerPoint, Excel, Teams)
  • Excellent written and oral communication skills
  • Comfortable working with all levels of employees within the Partners System, tactfully and persuasively
  • Ability to handle confidential or sensitive information in an appropriate and professional manner
  • Motivated, creative and capable of working in a fast paced and changing organization
  • Flexibility to accommodate a fluctuating workload
  • Display initiative, follow through, resourcefulness, efficiency and rigorous attention to detail
  • Maintaining a professional demeanor and high level of customer service is absolutely essential to succeed in this position
  • Confidence in presenting an idea/suggestion to help to improve the workflow of the RCO Department.
  • Ability to take the lead wherever they feel necessary

Supervisory Responsibilities:

  • No direct reports; may indirectly provide leadership and guidance to less seasoned and new staff

Working Conditions: 

  • Possible local travel to Mass General Brigham sites
  • This position is currently hybrid. Will be required to travel into the office due to business needs.
