Summary function: Responsible for providing clerical support to the office, customer service, and handling public record requests.
Requirements
Required minimum education: High School Diploma (or its equivalency).
Required minimum professional work experience: One (1) year clerical experience.
Essential Duties and Responsibilities:
Provides back up support to the receptionist position; answers phone and provides customer service.
Provides misc. clerical support to Branch Office Manager, Legal Secretaries and Investigators which might include one or more of the following: copying, scanning, sending mail and inventorying office supplies.
Opens new grievance files into the case management system and scans/imports documents.
Scan/import and record costs and charges for bar counsel, investigators, witnesses, and court reporters into the case management system.
Conference room coordinator: manages the conference room calendar by approving or disapproving conference room meeting requests to avoid scheduling conflicts; coordinator for setting up video equipment, and table arrangements; restocks coffee supplies and cleans up before and after meetings.
Troubleshoot problems w/office equipment and place service calls; replace toner cartridges, postage ink, and refill paper in copiers daily.
Clean kitchen daily and restock supplies.
Pickup incoming mail at mailbox, take outgoing mail to mailbox, prepare large packages for shipping, and distribute incoming faxes.
Other administrative/clerical duties as assigned.
