Description
Processes planning & development-related applications and permits and supports both internal staff and external customers by handling various tasks including application processing, fee calculation, correspondence, customer service, meeting coordination, and reporting. Ensures compliance with regulatory requirements and maintains excellent customer service standards.
Requirements
Intakes and processes online, email, and in-person development and permit applications into specialized software.
Creates ArcGIS site plans as part of application processing.
Calculates application and permit fees; processes payments and reconciles daily receipts.
Prepares correspondence, legal notices, and case files.
Attends meetings (e.g., planning commission, zoning board), verifies quorum, prepares meeting rooms, takes minutes, and distributes agendas and materials.
Prepares and distributes case-related documents and legal publications.
Operates a multi-line phone system; provides customer service by routing calls and answering inquiries.
Takes inspection requests, verifies proper permits, and coordinates daily inspections; confirms results and prepares occupancy and completion certificates.
Supports online software users with technical assistance.
Verifies contractor licensing information.
Runs and distributes financial reports; inputs data into GovSense and distributes deposits to the Treasurer.
Generates operational reports for distribution to stakeholders.
Monitors permit processing, issues permit packs to applicants and maintains affidavits as necessary.
Collaborates with staff and applicants to ensure compliance with procedures and timely processing.
Provides administrative support, including preparing and filing records, managing correspondence, and maintaining accurate records of all actions. Option to work from home 24 hours per month.
